A profile is what Outlook uses to remember the e-mail accounts and the settings that tell Outlook where your e-mail is stored. A new profile is created automatically when you run Outlook for the first time. The created profile runs whenever you start Outlook. Most people need only one profile. However, sometimes you might find it useful to have more than one profile. For example, you might want one profile for work and another profile for personal email; but if desired, you could have both accounts in one profile.
Outlook – Add Profile with email account
- Close Outlook
- Click Start
- Click Control Panel
- Double click Mail (32-bit)
- Click Show Profiles…
- Click Add
- Type the new Profile Name
- Click OK
- At the Auto Account Setup window
- If Outlook found your correct address:
- Click Next
- Wait this step can take several minutes
- If you received a notice “Congratulations! Your email account was successfully configured and is ready to use.” or “Your email account is successfully configured.”
- Click Finish
- If you have more than one profile, then under When starting Microsoft Outlook, use this profile
- Choose radio button for either
- Prompt for a profile to be used
- Always use this profile and then choose profile in drop down
- Choose radio button for either
- Click OK
- You’re Done
- If Outlook did not find the correct address enter the correct email address and all Auto Account Setup window fields will become available:
- Enter Your Name as you want it to appear on email
- Enter your E-mail Address
- Enter your email account Password
- Retype the Password
- Click Next
- If asked “Allow this website to configure [email address] server settings?”
- Ignore check box for “Don’t ask me about this website again“
- Click Allow
- If presented a Security Alert concerning the security certificate and asked “Do you want to proceed” click Yes
- Ifpresented with a notice that “An encrypted connection to your mail server is not available”
- Click Cancel
- Click Yes to exit the wizard
- Stop and contact COP IT for assistance
- If the Mail Delivery Location window notification appears stating “By adding a Microsoft Exchange account you have changed where some of your new e-mail messages and calendar information is saved. These changes will take effect the next time you start Outlook.”, click OK. Otherwise, continue to next step.
- Click Finish
- If you have more than one profile, then under When starting Microsoft Outlook, use this profile
- Choose radio button for either
- Prompt for a profile to be used
- Always use this profile and then choose profile in drop down
- Click OK
- Choose radio button for either
- You’re done.
- If Outlook found your correct address:
Outlook – Add Profile with no email account
When Outlook was first installed it created a default “Outlook” profile with no email accounts. These directions are to create that same “fresh” install of Outlook with an unused profile and no email accounts. First follow the directions at Outlook – Remove a Profile to remove all profiles then follow the instructions below.
- Close Outlook
- Click Start
- Click Control Panel
- Double click Mail (32-bit)
- In the General tab, click Add…
- Type in “Outlook” for the new profile name
- Click OK
- At the Auto Account Setup window, click “Cancel“
- Click OK to create a profile with no email accounts or click Cancel to not create a profile
- On the General tab, select the radio button to Always use this profile
- Click OK
